Where To Go

To apply for/view a permit you need to use the left hand menu on your ScoutOps Dashboard.

To apply for a permit you would obviously click on Apply but to view your permits you have the options set up as follows:

All: View all permits

Approved: View the approved permits

Declined: View the declined permits

Pending: View the pending permits and edit if needed (new feature)

 


Apply For A Permit

Below is the process you can follow if you wish to apply for a permit. Each section will be dealt with individually. You will notice that the first section contains your personal details. This will allow you to ensure that you are applying under the correct role (You can change your Role by going to My Role and ticking which one you want to use at that time).

Activity Type

Select the Activity Type from the drop down list. This will be filtered based on your role so as not to show superfluous information.

Activity Details

Section for information, namely: description, overnight locations, permissions, and charges. A well written activity description is vital as should something go wrong people must be able to see what it is you were doing and how best to offer assistance.

Total Numbers

This is just to advise how many people will be attending your activity.

Emergency Contact

This must be someone in the movement and not a parent or family friend. This is a non-negotiable and may result in a permit being declined.

Emergency Facility

Should something go wrong you need to know where you can go for medical assistance, and how you will get there. It is best to ensure that the facility in question is open 24/7 or has an emergency number as it would not be ideal to get there and they are closed.

First Aider Details

A First Aider must be present at the activity as per the Safe Scouting Policy (Section 7, Paragraph 7.1.2 Click Here). The criteria for each branch is as follows:

 

Type of Activity Designated First Aider
Meerkat or Cub Activity An adult, or Scout with at least a Level 1 First Aid qualification.
Patrol Activity A Scout, who holds at least the First Aid Scoutcraft badge
Troop Activity A senior Scout (14 years or older) who holds at least the First Aid Interest Badge, or an adult with a Level 1 First Aid
qualification.

 

You must ensure that you have their name, cell number, and most importantly, what their experience is.

What Happens Next

Once you have submitted your permit you will be able to view it under Permits >> View >> All. Remember, when a permit has been submitted and is still pending you have the ability to edit it.
